Campaigns

Guide

A campaign is a named outreach effort for a brand - a product launch, an event, a story you're pitching around. Its job is tracking status per contact, not holding content of its own: a campaign has just a name and description: the email content lives in each send, not on the campaign.

Pitch status

Every contact you add to a campaign gets a status: Not contacted, Pitched, Responded, Published, or Declined. A contact can be in several campaigns at once, each with its own independent status. You can add contacts by searching directly or by importing an entire media list in one action.

Status doesn't move on its own - there's no automatic detection of a reply or a published article. You update it yourself, or it advances to Pitched automatically the moment you actually send that contact an email (see below). A "Mark as pitched" bulk action is also available for logging pitches that happened outside Envoy (a phone call, an in-person pitch) without sending anything.

Sending outreach email

Envoy sends through a mailbox you connect yourself - your own personal address, or a shared brand address an admin has set up - rather than a generic Envoy sending address. Set this up from Settings' email accounts before sending your first campaign email. Emails are plain Markdown with no HTML template, and there's no open or click tracking - engagement is whatever you record manually via status.

You can send to one contact at a time, or use Bulk send to email everyone in the campaign who's still Not contacted. Bulk send is genuinely identical content to every recipient - there's no mail-merge or per-contact personalisation inserted automatically, even if you've written notes for that contact. Each send is logged to the contact's activity timeline (just the subject and which address it came from, not the full body) and, if you named the campaign on the send, moves that contact to Pitched.

An AI "Generate pitch" option can draft pitch copy for a specific contact, but it saves into that contact's notes for you to review and copy - it doesn't get inserted into an email automatically.

A cap worth knowing about

Free-tier organisations are limited to 100 outreach emails a month. If a bulk send would cross that limit, it can fail partway through rather than sending to everyone in the batch - worth checking your remaining allowance before a large send close to month's end.
