Documents & Templates
GuideA document in Envoy is a piece of written PR content - a press release, pitch, article, or email - not a file. Documents are written and edited directly in Envoy's rich-text editor rather than uploaded, and belong to a single brand. Social posts used to be a document type too; they've since moved to their own Social page with a compose/schedule/publish flow of their own.
Workflow
Every document moves through the same one-way workflow: Draft → In review → Approved → Published. Each stage has a button to advance it to the next - Submit for review, Approve, Mark published - and there's no way to move a document backwards once it's advanced. A published document becomes read-only in the editor. Sending a document as an email moves it to a separate Sent state instead, whether or not it had already been published.
Templates
Templates are reusable starting content, kept separate from documents and typed differently - Pitch, Follow-up, Influencer, or Review request - since they're about the kind of outreach rather than the kind of finished content. Each has a name, subject line, and body. From a document's editor, "Use template" pulls a template's content into the document; the subject line isn't copied, since documents don't have one.
Attaching media
Uploaded files (images, PDFs, and other assets) live on the Media page, a shared library for the whole brand rather than something scoped to one feature. From a document's editor, "Insert media" picks from what's already in that library and attaches it to the document (images can also be inserted directly into the text) - upload a new file on the Media page first if it isn't there yet.
