Users & Roles

Guide

Every member of your organisation has one of two roles: Admin or Standard. There's no separate "owner" role above admin, and no limit on how many admins an organisation can have.

What each role can do

Both roles have full access to contacts, companies, deals, documents, campaigns, and every other day-to-day feature, subject only to which brands they can see (below). Admin adds a specific, short list on top: inviting or removing team members, changing anyone's role, managing billing, and creating or deleting brands (any member can edit an existing brand's own details - name, description, colour - just not create or remove one).

A Standard member can't invite anyone else - only an admin can, from Settings → Users.

Restricting a member to specific brands

By default, every member sees every brand your organisation has. If you're an agency and don't want one client's contractor seeing another client's data, an admin can restrict a Standard member to specific brands from Settings → Users - open the brand-access icon next to their name and select which brands they should see. Admins can't be restricted; they always have full access. See Brands for more on what's brand-scoped versus organisation-wide.

When someone leaves

Removing a member deletes their membership, not their history - contacts, deals, and documents they created or were assigned to keep that attribution untouched. The one thing that does change is their API keys: a key created by a removed standard member stops working, while a key created by a removed admin keeps working at the access it always had.

Envoy won't let you remove your organisation's only admin - that request is blocked outright. It's worth knowing this guard only covers removing someone, not changing their role: nothing currently stops you demoting your only admin to Standard. If you're down to one admin, promote a second before changing anyone's role.
