Tasks & Calendar

Guide

Calls, emails, meetings, and tasks are all the same underlying record in Envoy - an activity - distinguished only by its type. A task is simply an activity of type Task, which is why the Tasks page and the Activities page show overlapping data: Activities lists everything, Tasks is the same list filtered to just tasks.

Logging an activity

Activities are usually logged from a contact, company, or deal's timeline, which keeps them linked to whatever they're about. Each has a title, an optional due date (not shown for emails, since those are logged after the fact rather than scheduled), an optional assignee, and a description. Logging any activity against a contact also updates that contact's "last contacted" date. You don't have to start from a record's own timeline, either - the Activities and Tasks pages both have their own "New" button, with a search-and-link picker for the contact or company it should attach to.

Tasks

The Tasks page is the same activity list, locked to the Task type and filterable by status (incomplete, completed, overdue) and by assignee. Marking a task complete lets you backdate the completion time, for logging something you did earlier but forgot to record.

Overdue reminders

Overdue tasks aren't flagged in real time - once a day, Envoy emails each assignee (or the task's creator, if unassigned) a single digest listing everything of theirs that's newly overdue. Each task triggers this at most once, so a task left overdue for weeks won't keep generating emails. Team members can opt out of this digest from their notification preferences.

Calendar

The Calendar page is worth a specific callout, because its name is easy to misread: it's a content calendar for PR activity, not a due-date calendar for tasks. It shows documents (by publish date), campaigns, coverage, and embargo lift dates - tasks and activities don't appear on it at all. If you're looking for what's due today, use the Tasks page's overdue and due-today filters instead.
