Guide

Contacts and companies are the two core record types everything else in Envoy links back to - deals, documents, activities, and campaigns all point at one or both. Unlike most other records, contacts and companies live at the organisation level rather than belonging to a single brand: a contact is linked to whichever brands are relevant to it, rather than owned by one.

Contacts

A contact has a type - Contact, Customer, Journalist, Influencer, Publication, Blogger, or Podcast - plus name, email, phone, address, website, and a free-text bio and notes. Picking a media-oriented type (Journalist, Blogger, Podcast, Publication) reveals two extra fields, Beat and Publication, since those only make sense for press contacts.

A contact isn't visible to a brand until it's linked to that brand. A brand-restricted team member won't see a contact at all until someone links it to one of their brands - worth knowing if a newly imported contact seems to have disappeared for part of your team.

Companies

Companies are simpler: name, industry, website, email, phone, address, a short description, a logo URL, and notes, plus a "This is a customer organisation" checkbox that distinguishes an actual client from a media outlet or prospect. Like contacts, a company is linked to brands rather than owned by one.

Companies get the same AI research tool as contacts - pull in a company's website or a recent article about them and Envoy summarises it, with notable news and outreach angles saved as a note on the company.

Contacts and companies link to each other directly, with an optional free-text role (e.g. "CEO") on the link itself. A contact can be linked to more than one company, and vice versa - search-and-link boxes on both detail pages handle this in either direction.

Custom fields

From Settings → Contacts or Settings → Companies, an admin can define extra fields beyond the built-in ones: Text, Number, Date, URL, or Yes/No. Custom fields are organisation-wide, not per-brand, and apply to every contact or company regardless of which brand it's linked to.

Tags

Tags are organisation-wide labels with a name and a colour, applied to contacts and companies from their detail pages. Use them for anything that doesn't fit the built-in type field - a shortlist, a source, a priority level - since a record can carry as many tags as you want, unlike the single fixed type.

Import and export

Both lists have a CSV importer: upload a file, map its columns to Envoy's fields (common column names are detected automatically), and review the result. Importing contacts can optionally create missing companies from a company-name column and skip rows whose email matches an existing contact. Export writes every field on the currently filtered list to CSV, not just what's on screen.

Finding duplicates

The Duplicates page (linked from the Contacts list) groups contacts that share an email address, or share a first name, last name, and company. Pick which record in a group should survive as the primary, and Envoy merges the others' activities, notes, and links into it before removing them.
